Introduction

This Privacy Policy explains how we collect, use, store, and protect your personal information when you access or use our services. By using Kyro, you’re emphasizing your acknowledgement and agreement to the practices described in this policy.

Information We Collect

When using Kyro and/or our associated services, we may collect the following information:

Account Information

  • Roblox Details: Username, display name, ID, creation date, community membership (and associated data) and profile description.
  • Discord Details: Username, display name, ID, creation date, server membership (and associated data) and profile description.
  • Additional Data: Email address and account status.

Workspace Information

  • Workspace Data: Guild name, ID, creation date, owner, verification status, license, and workspace status.
  • Tracking Data: Join time, leave time, message count, and average join patterns.
  • Inactivity Data: Start time, end time, duration, reason, and server role(s).
  • Infraction Data: Infraction count. For each infraction; date issued, type, reason, and additional notes, if applicable.
  • Session Data: Session name, announcement channel, notification role, experience link, session description, host username, attendee username, date and time.
  • Knowledgebase Data: Resource name and resource link.
  • Forms Data: Form name, response channel, form question(s), responder username, and responder’s form answer(s).
  • Wallet Data: Current, pending and total balance, withdrawal requests (username, date, time, and status), review request (username, date, and time), balance adjustment logs (username, date, time, and type).
  • Background Check Data: Requester username, target username, date, and time.

Service Information

  • Billing Data: Cardholder’s name, last 4 digits, associated bank, product purchased, amount paid, date, time, status (and rejection reason if applicable) and billing address if applicable.
  • Support Data: Name, approximate location, first/last seen, browser, browser language, browser version, and operating system.

How We Use Your Information

We use collected information for:
  • Analytics: By monitoring how our customers use Kyro, we can tailor our service updates to ensure they are highly beneficial for our customers.
  • Security: In the event of a Terms of Service or Community Guidelines violation, we can use our collected data to block access to our service, or file a report with local authorities.
  • Service: Most retained information is important for ensuring workspaces work automatically and effectively.
  • Support: By allowing our team access to a limited range of data about you and your associated workspace, our team can provide tailored support and resolve the incident efficiently.
  • Billing: Collecting data associated with payment is crucial for both security, legal, and service reasons.

Sharing of Information

Kyro does not share, sell, or rent your data. Your data will never leave Kyro’s servers unless one of the following exemptions has been met:
  • Workspace Information: Information which is under the ‘Workspace Information’ category may be shared with workspace members. This is crucial to ensure the features we offer function as expected.
  • Service Providers: Third parties which Kyro uses require the data we collect to complete procedures. For example, Stripe will require the workspace ID, collected by us, to automatically upgrade the workspace.
  • Legal Compliance: We’ll comply with an official legal notice requiring a transfer or disclosure of data. For example, local authorities investigating fraudulent activity requesting the disclosure of transaction information.
  • Consent: Data may be shared with other third-parties for other reasons, but only with your explicit consent.

Data Security

We take reasonable technical and managerial procedures to maintain the security of your data. All personal data is encrypted in transit using strong TLS protocols and and encrypted at rest using industry-standard systems. Access to systems containing personal information require strict identity checks, biometric authentication and frequent manual authorisation. Our infrastructure is hosted on secure cloud platforms with physical protection; 24/7 CCTV surveillance, continuous monitoring/logging, threat detection systems and regular security checkups and reviews. We also enforce strict managerial and development policies to ensure data is secure when in our servers.

Data Retention

We retain your information for as long as necessary to provide Kyro services, comply with legal obligations, resolve disputes, and enforce agreements. When you delete your account, associated personnal data will be removed or anonymised for a set timeframe. Certain information may be retained in secure backups or archived systems for limited periods where required for security, fraud prevention, compliance, or legal purposes. Data collected by a third-party API is removed after 30 days.

Your Rights

Depending on your location, you may have rights about your data. The rights you may have have been provided below, and you can contact our team to exercise them.
  • Accessing a copy of the data we hold about you.
  • Requesting a correction or update of any inaccurate data about you.
  • Restricting or objecting to certain data collection activities.
  • Withdrawing data collection consent where applicable.
  • Requesting a partial or complete deletion of your data.

Children’s Privacy

Children under thirteen years of age are not permitted to use our platform, while children aged thirteen to seventeen must acquire parental consent to use our platform. If we discover that we have been unknowingly collecting data from a child under the age of thirteen, we will suspend their access to our service and take reasonable steps to promptly remove the associated data from our platform. If you believe that a child under 13 has provided us with personal data, please contact us so that we can investigate and take appropriate action.

Amendments

We may update this Privacy Policy when we believe it is necessary to do so. Any changes will be posted here, and continued use of Kyro after changes are made constitutes acceptance of the updated policy. You are responsible for your understanding of this policy.
